Privacy Policy

Agency Backpack (“Backpack”) is software for running an agency: meetings, rocks, scorecards, clients, projects and people. It is run by Business Builders (“we”, “us”). This policy covers the Backpack website at agencybackpack.com and the Backpack apps for iPhone and Mac. It says what we collect, why, who helps us process it, and how you can delete your account.
The short version
- We collect what you and your team put into Backpack, plus what we need to sign you in.
- We do not sell your data. We do not show ads. We do not use tracking pixels or analytics tools.
- Your organization’s admins can see the work data inside your organization.
- You can delete your account yourself at any time, on the web or in the iPhone app.
What we collect
Account details. Your name, email address and password. We store only a one way hash of your password, never the password itself. If you sign in with Google, we receive your name, email address and profile photo from Google. You can also add a photo, job title, department, location, phone number, short bio, start date, manager and key result areas.
Your organization’s work. Everything your team enters to run the business: meetings and their notes, to-dos, rocks, scorecards and their numbers, issues, projects, tasks and comments, client records and client contacts, notes, processes, the Vision/Traction Organizer, the accountability chart, and People Analyzer and Quarterly Conversation ratings. This content belongs to your organization.
Personality results. If you choose to enter them, your DISC, Enneagram and Working Genius results. People in your organization can see them so they can work with you better.
Weekly check-ins. Your weekly ratings for morale, stress and workload (1 to 5), and your written answers about wins, challenges and next week. Your organization’s leaders can read them.
Feedback you send. When you use the in-app feedback button, we receive your comment, the page you were on, your browser type and screen size, and, only if you choose to include it, a screenshot of the page.
Technical data. A sign-in cookie that keeps you signed in. Your browser also stores a few display preferences, such as which view you picked on a list page. Our hosting provider keeps standard server logs, which include IP addresses, for security and troubleshooting.
How we use it
- To run Backpack for you and your organization, and to show your work to the people you work with.
- To send the emails Backpack needs: invitations, password resets, comment notifications, account approval notices and weekly check-in reminders. You can turn comment emails and check-in reminders down or off from your Profile.
- To power the optional AI features described below.
- To keep Backpack secure, fix problems, and answer your support requests.
We do not sell personal data, share it for advertising, or use it to build advertising profiles.
Who processes data for us
These companies handle data on our behalf so Backpack can work:
- Railway hosts the Backpack app and its database. All the data described above is stored there.
- Resend delivers Backpack’s emails. It receives your name, email address and the content of each email.
- OpenAI powers the in-app assistant, weekly check-in drafts, scorecard explanations, the weekly digest and team insights. When you use these features, the work data needed to answer is sent to OpenAI.
- Anthropic powers meeting recaps and meeting suggestions. When you use these features, the relevant meeting data is sent to Anthropic.
- Google handles “Sign in with Google”. If you sign in this way, your profile photo may load from Google’s servers.
Both AI providers state that they do not train their models on data sent through their business APIs. Backpack sends them data only when someone in your organization uses an AI feature.
Optional connections your organization can turn on
Nothing below is used unless someone in your organization connects it. Connection keys are stored encrypted.
- Google Drive. Read-only access so your team can browse a client’s folder and pull a file’s text into Backpack.
- Slack. Lets your team attach a Slack channel to a client and lets Backpack send weekly check-in reminders by direct message. Backpack looks people up by email to send those reminders. It never reads your Slack messages.
- QuickBooks. Reads customers and invoices so client pages can show billing status.
- Granola. If you add your own Granola key, Backpack reads your meeting notes from Granola when you ask it to.
- Teamwork. A one-time import of projects, task lists, tasks, comments and people’s names from your Teamwork account.
- Business Builders SEO Engine. For Business Builders staff only. Opening it passes your name, email address and role to a separate Business Builders tool hosted on Cloudflare.
No tracking and no ads
Backpack has no advertising, no analytics tools, no tracking pixels and no session recording, on the web or in the apps. Our fonts are served from our own server. We do not track you across other apps or websites.
The iPhone and Mac apps
- Your sign-in token is stored in the Apple Keychain on your device. Signing out removes it.
- The app saves a small summary on your device (your first name, a count of tasks due, and a short list of task titles and due dates) so the home screen widget can show it. Signing out clears it.
- On the Mac, quick captures you make while offline wait on your device until they are sent.
- The apps get your data from agencybackpack.com. They contain no analytics or advertising code.
Who can see your data
People in your organization see the work you share with them, according to their role. Admins of your organization can see and manage the work data inside it. Clients and contractors invited into your organization see only their own profile. We access your data only to run and support Backpack, to keep it secure, or when the law requires it.
How long we keep data
We keep your account while it is open. Your organization’s work stays for as long as your organization uses Backpack. If your organization wants all of its data removed, an admin can email us and we will delete it.
When you delete your account, we remove your personal details right away. Copies can remain in our hosting provider’s backups and logs for a short time until they are replaced.
Deleting your account
You can delete your account yourself, at any time:
- On the web: open your Profile, choose the Account tab, and use “Delete account”.
- In the iPhone app: go to More, then Account, then Delete Account.
When you delete your account:
- Your name, email, photo, password, sign-in links, API keys and app sign-ins are removed.
- Your personality results, weekly check-ins, People Analyzer ratings about you and Quarterly Conversations about you are deleted.
- Work you did for your organization, such as tasks, comments and meeting notes, stays with the organization and shows as “Deleted user”.
- If you were the last person in your organization, the organization is closed too.
If you are your organization’s only admin and others still use it, make someone else an admin first. If you cannot sign in, email jay@businessbldrs.com from the address on your account and we will delete it for you.
Your choices and rights
You can see and change most of your details on your Profile. You can ask us for a copy of your data, or ask us to correct or delete it, by emailing jay@businessbldrs.com. Depending on where you live, you may have more rights under local law, and we will honor them.
Security
Data travels over encrypted connections. Passwords are hashed. Keys for connected services are encrypted at rest. No system is perfect, so please use a strong password and tell us right away if you think your account has been misused.
Children
Backpack is a business tool. It is not directed at children under 13, and we do not knowingly collect data from them. If you believe a child has given us data, email us and we will delete it.
Changes to this policy
If we change this policy, we will update the date at the top. If a change is significant, we will tell account holders by email or in the app before it takes effect.
